01Overview
A revenue workflow for a residential real-estate practice, designed around a single unforgiving constraint: in real estate, the agent who responds first usually wins the client. The system answers immediately, qualifies conversationally, records structured data into the CRM, follows up on a schedule, books the appointment, and hands to the human at the moment the relationship starts mattering more than the automation.
02Problem
A working agent cannot answer the phone while showing a house, and a lead that waits four hours has usually already spoken to someone else. The manual path — capture a form, remember to call, remember to call again, keep the CRM current — fails at exactly the moments the agent is busiest, which are also the moments leads arrive. The failure is not lost data; it is lost first contact, and it is invisible because nobody logs the deal they never knew they lost.
03David's role
- Established and manage the AIBYS Atlas solutions partnership that underpins the voice layer.
- Architected the end-to-end revenue workflow: capture, voice response, qualification criteria, CRM structure, follow-up sequencing, booking, and escalation rules.
- Ran discovery directly with the practising agent, translating how the business actually works into the qualification logic and handoff points.
- Delivered the surrounding revenue operations — agent web presence, contact-list architecture and consolidation, campaign design, and marketing collateral.
- Produced the CRM platform implementation plan and drove the operational rollout with the client.

A linear pipeline with one deliberate exit: lead capture, immediate AI voice response, conversational qualification, CRM write, automated follow-up, booking, and human escalation. Every stage writes to the CRM as the system of record, and the escalation path is available at any point rather than only at the end.

The decision, the alternative it was chosen over, and why.

Decision
Optimise the entire architecture around time-to-first-response rather than around conversation quality.
Instead of
A more sophisticated conversational agent that engages after a routing delay.
Why
In residential real estate the first responder usually wins the client, and a slightly rougher conversation in ninety seconds beats an excellent one in four hours. Naming speed as the constraint decided the queueing model, the telephony path, and the qualification depth in one move.

Capture qualification as structured fields at the point of conversation.
Instead of
Storing the transcript and extracting from it later.
Why
Transcripts are evidence, not data. Deciding the fields up front forced the real question — what does this agent actually need to know to decide whether to spend an hour on this lead — and made the CRM record immediately actionable rather than something a person has to read and re-key.

Why
The value in this business is the agent's relationship and judgment; automating past the appointment would replace the part clients are actually paying for with the part they tolerate. The boundary is where the automation stops adding value, not where it stops being technically possible.

Installing the AI component and treating the rest as the client's problem.
Why
A speed-to-lead system with no lead flow into it is an expensive answering machine. The consolidation work that turned scattered exports into one deduplicated list was unglamorous and was the difference between a system that had something to do and one that did not.
10Tradeoffs
- Depending on a partner platform for the voice layer buys mature telephony and conversational capability, and accepts that its roadmap and limits are not mine to set.
- Structured qualification fields make records actionable but constrain what the conversation can capture; anything outside the schema is lost unless the schema changes.
- Ending automation at the appointment leaves nurture and re-engagement largely manual — a deliberate scope boundary, and a real gap when volume grows.
- The internal capability matrix for the voice platform is explicitly marked unverified. The architecture is designed and the engagement is real; platform capability claims are not treated as confirmed until tested.
11Outcome
A sustained client engagement with a practising New Jersey real-estate agent, running from early 2026 through the present. Delivered work includes the agent's web presence, a consolidated contact database, campaign architecture, marketing collateral, and a CRM implementation plan driving the operational rollout. The revenue architecture — capture through escalation — is designed and documented; the platform capability rows behind the voice layer remain marked unverified pending direct testing, and are described that way rather than assumed.
